The Intermediate Buyer is responsible for the procurement of scientific and administrative supplies and services as requested. The position is responsible for all follow up related to the orders, including confirmation of receipt, resolving discrepancies, expediting back orders and any other matters. This position assists in the day to day operations of the department as directed by the Procurement Manager.
Duties and Responsibilities:
Takes ownership of all requisitions between up to 10K for common lab supplies and low to moderate risk services found in Jaggaer
Sources suppliers for requisitioned materials, determining factors such as availability, lead time, price and discounts offered for requisitions up to 10K
Negotiates business terms with sales reps for any agreements associated with their orders
Procures lower dollar capital equipment and any related maintenance and/or repair services, which includes following all requirements of procedures and policies established regarding capital appropriation request asset tagging forms, approvals, justifications required and OMB requirements
Manages all order confirmations received and provides end-users with any backorder information
Runs weekly backorder reports to proactively address any discontinued or cancelled orders
Runs weekly open rncumbrance reports and partner with Research Accounting to update account information on applicable POs
Orders hazardous and/or DEA approved materials as needed
Resolves Service Now tickets in a timely manner
Assigns Service Now tickets to appropriate team members
Updates department intranet site with minimal or no direction
Works with vendors and users to handle returns and mis shipments
Takes weekly stock and procures items for the stockroom on rotational basis
Communicates issues and needs in a timely basis to basis to ensure end user needs are fulfilled
Suggests improvements and coordinates cross-departmental solutions
Negotiates with suppliers customer service representatives on all levels of complexity
Works with orders from low to medium fiscal impact
Education and/or Experience:
High School diploma and three years experience required or an equivalent combination of education, training and/or experience from which comparable knowledge, skills and abilities have been attained
Some college level coursework preferred
Knowledge, Skills and/or Abilities:
Ability to think critically and propose possible solutions to challenges
Understands procurement systems and the related software to support day-to-day activities
Demonstrates ownership and accepts responsibility
Approachable, courteous, and solution oriented and engages others as necessary to resolve issues
Ability to separate personal and professional views to achieve good customer service
Possess strong attention to detail, analytical, time management, organizational, communication, and interpersonal skills
Professional proficiency in Microsoft Office
Supervisory Responsibilities:
This position does not have any formal supervisory responsibilities.
Compensation:
The expected hiring range for this position from $56,022 - $63,025.
